Overview

Currently, there's a drawback to the "committee" system Audubon uses in EveryAction to organize contacts. This drawback is that if there's online activity in a different committee than the one you have access to — say, for instance, a donation to Audubon via a National form, or a Native Plants zipcode search — you can't see it when you look at that contact's record the regular way. We created a workaround for this: a special user account called "Activity History Spy". The way you use this Spy is by impersonating this user. Here's how you do that.

Impersonating the Activity History Spy

This will be a lot of steps, but each step is usually just a single click or search. So it's pretty simple, really.

  1. Go to the User List (a.k.a. "Users" in the side menu)
  2. Search for "spy" in the "Last Name" filter field (the first one, top left)
  3. Click the blue "Refresh Results" button
  4. When the single row for the Spy user loads, click on its name in the "Name" column
  5. Find the "More" dropdown next to the blue "Save" button in the top right of the user record, and click "Impersonate User"
  6. Click the blue "Next" button ("National Audubon Society" should be selected by default)

Now you will be looking at the "Quick Look Up" page, which is the default for the Activity History Spy.

Finding activity on the contact record

"Quick Look Up" gives you a handful of fields with which you can find a contact record. One benefit of it over the actual quick search in the header bar is that it will show multiple hits, if they exist in the system.

So, to find contact activity,

  1. Enter whatever you need to find your contact and click the blue "Search" button (hint: stashing the VAN ID of a contact and searching by that is the best way to find an exact contact you were just looking at)
  2. Click on your contact's name in the "Name" column when the results load
  3. Look at that activity. The Activity History Spy has sections open by default in this order:
    1. Email (the contact's email addresses, and their subscription statuses)
    2. Targeted Emails (the emails Audubon has sent to that contact)
    3. Online Forms (the online forms that contact has submitted)
    4. Contributions (a history of that contact's online AND offline contributions)
  4. Any other section you can expand by clicking the arrowhead next to the section title. Click it again to collapse.

One more thing: you might want to look at this contact in a different committee to see their subscription status (in the Chapter Leaders committee, for instance, or the Science Programs committee). You can see what other committees that contact shows up in in a dropdown under the info summary at the top of the record:

Click on the text that says "View contact in a different committee" and a dropdown of availables will appear. Please also switch back to NAS when you're done.
